About the Opportunity

Reporting to the Director of Health Services at Hants Community Hospital (or one of the sites within the portfolio), the Administrative Assistant Scheduling Lead is responsible for providing comprehensive scheduling support to the schedulers supporting multiple sites (Eastern Shore Memorial Hospital, Musquodoboit Valley Memorial Hospital, Twin Oaks Memorial Hospital, Hants Community Hospital, Braeside, and Harbourview Lodge) by effectively coordinating the day-to-day scheduling operations within the Directors’ portfolio. The position coordinates all scheduling and site administrative activities, establishes scheduling and administrative procedures and guidelines, and acts as a liaison with the different site schedulers and administrative assistants within the portfolio and across the health authority.  

 

This position provides additional support to individuals, committees or working groups as assigned. On an as-needed basis, provides general coverage as assigned when the Site Administrative Assistant is absent due to vacation or illness (basic site support including (but not limited to) support to site level committees, Finance Clerk, Foundation and Auxiliaries, send site-wide emails, and answer general inquiries). 

About You

We would love to hear from you if you have the following:

 

  • Post-secondary diploma in a recognized office administration, business administration or secretarial program
  • Minimum of 5 years of progressively responsible experience, providing administrative support and office coordination at the executive level
  • Undergraduate degree is an asset
  • International Association of Administrative Professionals (IAAP) certification is an asset
  • Experience within healthcare and within an integrated service model provided throughout several locations with multiple partners and stakeholders preferred
  • Excellent communication, interpersonal, prioritizing and organizational skills are required.
  • Demonstrated competencies requiring advanced skills and abilities in all facets of modern office practices and technology and with information and meeting technologies
  • Experience utilizing technology in meeting planning to create efficiencies and streamline tracking and retrieval of information.
  • Competencies in other languages an asset, French preferred

Hours

  • Long assignment full-time position; 70 hours bi-weekly 
  • Travel to various sites required 

Compensation and Benefits

$28.80 - $31.77 Hourly
