About the Opportunity

Join Nova Scotia Health’s Addiction Medicine Program as the Administrative Assistant to the Physician Lead, Addiction Medicine. This is a strategic, high-visibility role that combines senior-level administrative support with program coordination across a fast-moving, province-wide portfolio. The Administrative Assistant will be a trusted partner to the Physician Lead, Addiction Medicine, ensuring seamless day-to-day operations, preparing concise briefing materials, coordinating governance and committee work, and acting as a primary liaison with internal and external partners. This position is ideal for a perceptive, highly organized professional who thrives on anticipating needs, exercising sound judgment and maintaining strict confidentiality.

About You

We would love to hear from you if you have the following:

•   Completion of a recognized office administration or secretarial program.
•   International Association of Administrative Professionals (IAAP) certification is considered an asset.
•   A Minimum of three (3) years of progressive administrative support experience, ideally in a complex or senior-level environment.
•   Excellent communication and interpersonal skills, with the ability to engage effectively and respectfully with physicians, leaders, staff, and external partners.
•   Advanced organizational and critical thinking skills, including proactive scheduling that aligns with strategic priorities and protects focus time for senior leaders.
•   Demonstrated attention to detail in preparing agendas, assembling briefing materials, documenting key decisions, and tracking follow-up actions to completion.
•   Proven ability to triage requests, emails, and meeting invitations, exercising judgment to manage workload and prioritize high-impact work.
•   Experience supporting multidisciplinary teams and managing sensitive or high-pressure situations with calm, discretion and professionalism.
•   Strong analytical and problem-solving skills, with the confidence to synthesize information and make sound decisions within defined authority.
•   A high degree of accountability, initiative, and independence, balanced with the ability to collaborate effectively as part of a team.

Hours

•   Temporary, Part Time 50% position; 37.5 Hours Biweekly
•   Approximately 24 months

Compensation and Benefits

$24.25 - $30.32 Hourly

Successful candidates may be eligible for our benefits package which includes health, dental, travel, long-term disability, and life insurance coverage as well as a defined benefit pension plan.
