About the Opportunity

Reporting to the Zone Executive Directors Health Services, the Executive Assistant provides confidential and comprehensive, executive-level support. This includes responsibility and accountability for the overall effective management and coordination of the Office of the Zone Executive Directors.

Requiring a strong level of independence and demonstrating advanced communication, relationship building, organizational and critical thinking skills, the Executive Assistant enables and supports administrative aspects of zone operations with a proactive approach supporting the Zone Executive Directors to focus on strategic priorities and achievement of goals and objectives.

The Executive Assistant contributes and supports leadership to the administrative assistants within the zone in terms of all administrative activities, procedures, and guidelines to enable consistency and standardization across the organization.

About You

We would love to hear from you if you have the following:
 

  • Post-Secondary diploma in a recognized office administration, business administration or secretarial program
  • Undergraduate degree in a related field is considered an asset
  • International Association of Administrative Professionals (IAAP) certification is an asset
  • 5-7 years of progressively responsible experience providing executive level support and office coordination and management, preferably within healthcare and within an integrated service model provided throughout several locations with multiple partners and stakeholders
  • Exceptional leadership, organizational and self-management skills reflecting the ability to perform and prioritize multiple tasks
  • High propensity for detail and accuracy
  • Evidence of interpersonal and relationship building skills required to build and maintain strong, collaborative working relationships with all stakeholders, including staff, physicians, volunteers, patients, families, senior management, Department of Health and Wellness and external partners
  • Advanced written and verbal communication skills with the ability to adapt communications to the applicable audience and draft communications on behalf of the Executive Director
  • Ability to work independently with minimal direction and demonstrated proactive approaches to problem solving with strong decision-making capability
  • Proven ability to manage complex and highly confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of service and response
  • Demonstrated ability to meet tight deadlines in a fast-paced environment, and to turn work around within a short time span with competing and often changing demands and priorities
  • Extensive knowledge of entire zone (including leaders, staff, physicians, programs/services and geographical areas) operating in a matrix model
  • Demonstrated competencies requiring advanced skills and abilities in all facets of modern office practices and information and meeting technologies Experience utilizing technology in meeting planning to create efficiencies and streamline tracking and retrieval of information

Hours

  • Permanent, full-time position; 75 hours bi-weekly 

Compensation and Benefits

$26.92 - $33.65 hourly
