The Opportunity
Reporting to the Clinical Manager of Diagnostic Imaging, the Clerical Coordinator, DI is responsible for the organization and direct supervision of Registration and Scheduling staff within Diagnostic Imaging. The Clerical Coordinator, DI promotes, supports, and advocates for the well-being of staff, patients and families by ensuring the provision of diagnostic imaging support services that are accurate, professional, in keeping with the principles of family-centered care, and protect patient and family confidentiality and privacy at all times.
The Clerical Coordinator, DI facilitates communication and collaboration between schedulers, clinical staff, radiologists, and anesthesia, as well as internal and external partners, to support decision-making and departmental efficiencies. In collaboration with the DI clinical managers, the Clerical Coordinator, DI oversees the processing of incoming IWK imaging referrals and will identify issues that have potential or actual impact on clinical care. The Clerical Coordinator, monitors and evaluates patient care standards and workload and makes recommendations and/or takes action for change as appropriate.
The Clerical Coordinator, DI is the Key User for the Clinical Information and associated applications, as well as all other software/equipment required for the operation of the team and acts as a resource for all staff in this regard. Participation in training new employees as well as continual monitoring, identifying issues requiring staff education and collaboration with the appropriate individuals to address learning needs are requirements of this role.
The Clerical Coordinator, DI is responsible for staff scheduling, in accordance with the Collective Agreement as well as Diagnostic Imaging operational requirements. This role tracks employee attendances/absences and Payroll for the team. The Clerical Coordinator, DI orders and maintains stock of all required office supplies. The Clerical Coordinator, DI works collaboratively with the Clerical Coordinator, IR and CI supporting and providing cross coverage relief. The Clerical coordinator, DI may be asked to perform other duties as required.
Hours of Work
70 hours biweekly; flexibility to support the provincial Central Intake hours of operation will be required.
Your Qualifications
- High School Diploma or GED required.
- Graduate from a recognized Office Administration Program required.
- A combination of equivalent education and experience may be considered.
- Minimum of three (3) years related administrative experience is required, at least one (1) year of which should be in a Diagnostic Imaging service.
- Competency with healthcare related computer applications including but not limited to Ocean eReferral, MediTech Magic, XERO, MS Office Suite and/or other Radiology-related information systems is an asset.
- Demonstrated excellent communication skills, verbal and written and conflict resolution skills, including interactions with referring and receiving providers, patients, and staff is required.
- Demonstrated interpersonal, collaboration and team building skills are required.
- Demonstrated tact and discretion in dealing with sensitive and confidential patient information is required.
- Demonstrated commitment to customer service in the healthcare environment.
- Demonstrated planning, organizing, prioritizing and time management skills; consistently able to meet timelines with demonstrated flexibility to meet workload demands is required.
- Demonstrated accountability, initiative, and ability to work independently with minimal supervision is required.
- Competencies in other languages is an asset.
