The Opportunity

Reporting to the Chief Operating Officer of Pediatrics and designated members of the Division of Cardiology in the Department of Pediatrics, the Administrative Assistant provides high quality secretarial and clerical support to designated members of this Division as assigned. Responsibilities include, but are not limited to: Transcribing a variety of documents (manuscripts, letters, memos, Compiling statistics; reconciliation of financial ledgers; Liaising with outside organizations and pediatricians; Scheduling appointments and meetings; Maintaining Physician schedules and appointments; Organizing meetings; Filing; Making travel arrangements and processing claims; Answering phone calls and email messages; Processing mail; Composing correspondence; Entering data and maintaining databases; Photocopying; High concentration in management of Divisional accounts; Ordering supplies; other related duties as assigned.


 

Hours of Work

Monday – Friday, 7.0 hour shifts.  Exact hours of work to be determined.
 

Your Qualifications

•    Minimum High School Diploma or G.E.D. required.
•    Graduate of a recognized Office Administration program required.
•    A combination of equivalent education and experience may be considered.
•    Minimum six (6) months related administrative experience required.One (1) year is preferred.
•    Working knowledge of Microsoft Office and other computer programs/technology is required.(Testing may be conducted on candidates).
•    Keyboarding skills minimum 40 wpm required, 60 wpm is preferred (Testing may be conducted on candidates).
•    Medical Terminology and dicta typing experience preferred.
•    Excellent multitasking, organizational and prioritization skills required.
•    Proven team player with excellent communication and interpersonal skills required.
•    Demonstrated ability to respectfully work with a variety of inter-professional team members is required.
•    High degree of initiative, diligence, attention to detail, and self-discipline/focus required.
•    Experience preparing research grant applications, manuscripts, protocols and reports preferred.
•    Experience in a related role in a health centre or university/academic environment preferred.
•    Experience in Meditech, Outlook, Adobe Acrobat and the Internet an asset.
•    Demonstrated commitment to Family Centred Care required.
•    Competencies in other languages an asset; French preferred.
